Digital Information and Data Protection Policy

What is a Digital Information and Data Protection Policy?

A “Digital Information and Data Protection Policy” – commonly known as “Privacy Policy” is a statement that discloses some or all possible ways a business Collects, Processes, Shares, Stores and Archives the “Personal Information/Data” of its website visitors and customers in digital landscape. It fulfils a legal requirement to protect a visitor or customer's private information and data.

“Personal Information/Data” refers to “Customer Information/Data”, “Visitors Information/Data” - and is used interchangeably throughout this policy.

Data Controller and applicable legal jurisdiction

The data controller for the purpose of this policy is META GXP (SMC- Private) Limited. We are a registered company with Security and Exchange Commission of Pakistan (SECP). The applicable legal jurisdiction of our company incorporation is Pakistan. 

National Commission for Personal Data Protection (NCPDP) is the regulatory body responsible for monitoring data processing activities and protecting the privacy rights of individuals in Pakistan.

 

Scope

This privacy policy is applicable on personal information/ data collected using the following digital interface(s)

1. Data Collected through the website www.metagxp.com , processed, stored and archived in digital format by our business.

2. Data Collected through Email, Social Media, Online conferencing applications, collaborative workspaces and soft administrative Tools, processed, stored and archived in digital format by our business.

3. Data Collected through Phone, Post, processed, stored and archived in digital format by our business.

This privacy policy does not apply to data collected in non-digital format such as “Papers”. For applicable policies on collection, processing, storage and archiving of non-digital data, please refer to individual contract T&C’s documentation with the visitor or customer.

What measures do we take to protect your personal information/data?

Our Credo.

“META GXP” (“Our”, “We”) www.metagxp.com (“The website”), trading as "META GXP (SMC-PRIVATE) LIMITED" take our own privacy and privacy of our customers and visitors information/data very seriously.

• We will handle our customer’s and visitor’s privacy with same diligence and care that we apply to our own.

• We will not use your personal information in a manner inconsistent with the intended purpose for which you provided it to us.

• We do not sell, rent or lease your personal information.

• We will challenge any official demand to gain access to your personal information/data.

• We will only utilize those 3rd party service providers with a privacy policy in place that governs the use of personal information.

• We intend to actively participate in seeking knowledge concerning the latest in privacy industry, gaining insights on news and trends to ensure continuous improvement of our governance methods concerning the use of personal information.

• Where a 3rd party service provider is found to have been reported by the regulators in the applicable legal jurisdiction, we shall discontinue the use of such 3rd party service providers.

• Our employees involved in processing of customer or visitor’s personal information/ data will be appropriately trained and authorized to access and work with digital systems.

• Our contractors /Temps/Freelancers involved in processing of customer or visitor’s personal information data will be appropriately trained and authorized to access and work with digital systems.

• We will carry out annual internal process checks to evaluate the effectiveness of governance against the requirements of this privacy policy.

• Our business hardware will always carry updated Firewall and other information data protection software suite as standard such as VPN, Antivirus and Antimalware tools to minimize risk exposure to our customer’s personal information /data.

 

What type of information do we collect from visitors and customers?

We typically collect the following information about our customers and site visitors

Customers

• Your Name

• Your Contact details

• Your Business Name

• Details pertaining to your query

• Username and online profile you create on our website

• Payment for the service and bank details you provide

• Customer feedback

Site Visitors and prospective clients

We only collect personal information pertaining to our website visitors or prospective clients when they communicate with us, such as through “live chat” or via “Contact form”, “Phone”, “Email” and “Post”. We collect similar type of personal information/data from our site visitors as we do from our customers.

Non-Personal information

Any non-personal information (such as ip address, location etc) is not collected or stored but may be viewed as it is made available by 3rd party hosting provider i.e. Wix.com, details of their privacy policy is available on their site.

Who are 3rd parties and what about their privacy policies?

Like most businesses, we utilize 3rd parties (Service Vendors/Suppliers), these include digital service vendors such as Website hosting and domain providers, Payment processors, social media apps, Telecom service provider-to name a few, enabling us to operate and provide you with services. While we always aim as a business to utilize only reputed and trusted 3rd party service providers ensuring protection of our customers and visitor’s information/data, we however do not assume responsibility for any privacy related issues because of a 3rd party privacy breach as this digital information and data protection policy does not extend to any of our 3rd party service providers.

Our 3rd party service providers are responsible for maintaining and updating their own privacy policies and visitors and customers should always refer to their websites for reading and understanding the policy or if they have any query/ concerns regarding a policy.

We maintain an up-to-date list of our 3rd party service providers and would be happy to share that upon request with our customers. Please email us with your request at the address provided at the bottom of this policy should you be requiring one quoting the “Request For 3rd Party List” in the subject line with following details included in the email.

• Your Name

• Your Business/ Customer reference

• Reason For Requesting 3rd party details

 

How do you communicate with your site visitors?

We may contact you to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our company, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone, text messages, and postal mail.

When you choose to conduct a transaction with our business using our website, email or phone such as filling a form or using live chat as part of the process, we and/or the automated digital system collects your personal information that you agree to provide us.

We store and archive electronic data on storage and archiving services provided by our 3rd parties.

 

For how long do you retain personal information?

Personal information of customers is retained for as long as it’s needed in line with the applicable regulations/ industry standards. 

Personal information of visitors is deleted following 3 months of inactivity.

Children privacy

We do not maintain any personal information pertaining to children. We have no means of assessing a website visitor’s age and therefore bear no responsibility if any child happens to gain access to our website or attempts to interact with our site. We would encourage parents to apply parental controls to their children’s hardware and software in use.

Where you notice that a child has provided your personal information, please get in touch at the email address provided at the end so that we are able to remove that information.

We will take all steps reasonably necessary to ensure that your information/ data is treated securely and in accordance with this privacy policy. Unfortunately, the transmission of information/data in digital landscape always carries a risk of not being 100 percent secure. There can be number of reasons as to how your personal information/data can be exposed to vulnerabilities, for example data breaches by 3rd parties, unauthorized access, viruses and malware programs etc. Although we will do our best to protect your personal information/data (such as by use of our information/ data protection tools), we cannot always guarantee the security of your personal information/data.

By accepting this policy, you agree to accept the inherent risk posed by the vulnerabilities in the digital landscape.
